New Object Security Framework Autodesk Vault Workgroup 2017 and Autodesk Vault Professional 2017 introduce a new security paradigm to provide more control over who can access Vault objects. Previous Vault releases used role-based security to see if a user had general access to the object type. If the user had the correct role, then Vault used an additional single-gate security system. Administrators could use either object-based security or state-based security. Object-based security was generally derived from folders.

State-based security was derived from lifecycle state security rules. This led to problems when an Administrator wanted to use both folder and state-based security. In addition, users with the correct role would only need to be able to see an object in order to make state changes. Vault was not limiting state changes based on business lines. For example, if a group of engineers in one location could see what another group of engineers was working on, they could make state changes. More Control Over Security for Specific Business Lines Vault 2017 introduces a dual-gate security model that combines folder security with state security. Users must now have role permission, and combined folder and state-based permissions to access a Vault object.
With this new dual-gate security model, administrators can control individual access to a Vault object based on organizational area or business line. For example, an administrator can make it so that a group has read, write, and delete permissions but certain members of the group do not have some permissions while in various lifecycle states. Legacy Security Still Available Customers who prefer the legacy security model or who want to wait before adopting the new dual-gate security model, can still emulate the single-gate security model by selecting Override object-based security in the Definition Security drop-down of the. This option makes it so that every file that is using that lifecycle definition has state security as an override. Updates to Dialogs and Workflows.

State-based security–available when a state-based ACL exists and is combined with object-based security. Overridden security–available when a state-based ACL is overriding object-based security, or when the administrator sets a manual override on the object. Combine with object-based security–state-based security defined for individual states within this lifecycle definition combine with the object-based security set on the object. In other words, the combined security becomes the effective security for the entity. Override object-based security–state-based security defined for individual states within this lifecycle definition override the object-based security set on the object. In other words, state-based security becomes the effective security for the entity. Note: Vaults migrated from Vault 2016 or earlier use Override object-based security as the default setting so that legacy (single-gate) security is maintained.
However, all new vaults use Combine with object-based as the default security setting, which is a dual-gate security setting. Change this setting at any time to mimic legacy (single-gate) security.
See for more information. Administrators can now control how state security impacts files in a folder in a particular state by selecting on the Security tab for that lifecycle state. In previous releases, only network-based licensing was available. Vault 2017 now offers two license types: single-user subscription (stand-alone) or multi-user subscription (network).
Single-User Subscription license–A single-user subscription license is a stand-alone license that is tied to the machine on which the Vault applications run. The single-user subscription license is available with Vault Workgroup and Vault Professional. Multi-User Subscription License-A multi-user subscription license is a network license that is tied to the Windows account used to run the Vault applications. Only one license is pulled if the applications which require a license are launched from the same machine with the same windows account. The multi-user subscription license is available with Vault Workgroup, Vault Professional, and Vault Office. In previous releases, it was difficult to identify which CAD files did not have the item data required to create Items and BOMs.
Autodesk Vault Professional 2017 makes it easier to identify these files. Administrators can now restrict users from assigning items to CAD files that do not yet have item data by selecting the Block Assign Item if file has no Item Data option on the dialog. If a user attempts to assign an item to a CAD file without item data, a message displays, informing the user that the action is restricted. This feature is on by default.
Users can now create a job that generates a BOM object for selected Inventor files that are missing BOM information by selecting the command on the Actions menu. A job described as Extract Item Data is added to the job queue, where is the CAD file being processed. A new system property is introduced called Item Assignable and is available on the Advanced Find and Customize View dialogs, making it easier to search for and view files based on this property.
If a file has Item Data (BOM information), the Item Assignable value is True. Vault Workgroup 2017 and Vault Professional 2017 now allow properties on a link level between:. two defined custom object entities. a custom object and a file, folder, or item entity. a folder and a file, folder, or item entity.
User-defined properties can be created for these links. In addition, the new linking system allows administrators to import link properties using the Factory.config file so that information about the relationship between two vault objects can be tracked as a property link. To support this new feature, a new has been created and is visible on the Property Administration interface.
Imported Factory property links show this link association as selected. However, the link properties are not accessible via Custom View in the Vault user Interface (lists and tabs). The Administrator needs to create a custom tab to be able to display link properties. New Folder List View in Copy Design Vault Workgroup and Vault Professional 2017 introduce a new folder list view in Copy Design.
Users can now set a destination path in the folder panel by manually updating the destination folder path or assign the destination folder by using Find and Replace capabilities to update the folder path string. In addition, users can substitute values, such as the project number, in the folder path by simplifying the new file path in instances where there is a complex rules-based structure, or by individually browsing to folder locations by file. New Auto-Fix Feature for Certain Pre-checks In an effort to reduce installation issues and administrator interactions, Vault 2017 introduces a new Auto-Fix feature for the and the pre-check.
If the system finds an issue with either of these pre-checks during installation, the administrator can click Re-test to have the system attempt to automatically correct the issue. If you prefer to do this manually, you can leave the install screen to perform the changes, but this simple enhancement for common settings issues can help simplify initial installation.
Hi Inventor Users Out there Lots of differing opinions on this one. Personally in my 8 years of Inventor I have used Vault once for about 6 months. It was great but extremely difficult to get all the exisitng data into vault in an acceptable state to be used. Right now, I am the only inventor user in a drawing office of 8 autocad people, so do manual drawing management and revision control. A lot of previous companies, I have been with have shied away from vault.
At a vault seminar I was at recently, manual methods were definitely frowned upon. Some companies swear by it and will not do anything manually! What is the general consensus of opinion out there. IMO Vault version control and file management can be very beneficial in companies with multiple users. There is little need to use it when you are the only one in the Engineering department or the only CAD user.
But even with a single user the ability to revert to previous versions can be very useful. But if you rarely need to do that and are the only user then there is no point in adding the overhead of Vault. The company did NOT have Vault.
'Too Expensive!' So hired a local yokel to program something similar. But it did not have any way to check if a file was the latest version / revision. It just asked you if YOU THOUGHT it was the latest.

If you answered it was then it overwrote the file on the server. Only one copy was retained on the server. Of course EVERYONE said yes since they wanted their changes to be saved. It was common to come into work the next day and find all your work was gone! No communication between the workers. And especially me since I was just the lowly intern. Everyone complained regularly but the bean counters always trumped the engineers.
Hi, As mentioned, if you are the only Inventor user, the need for Vault might not be there. Keep in mind you can always implement it later. In order to use Vault successfully, you will want a solid naming scheme and a good file management system.
These are things that you should have regardless, but if they are lacking, then getting the files into Vault can require a great deal of re-organizing. If you went to Vault seminar, you should expect that the 'sermon' would preach Vault as the savior. But know that not all Vault implementations are created equally. Often the success of a Vault implementation has a great deal to do with having good file management and naming schemes that Vault simply helps automate the management of. But many people will speak as if it is Vault that creates these good file management processes, i have not really seen that to be true. As for manual processes, I have worked successfully without Vault, in groups of up to maybe 5 users or so.
This was done with all users using the same.ipj file, but concurrent work on the same files was never the case in our process. When two users did occasionally hit the same files at the same time, we'd stop and figure it out, but it was rare and never a major issue in that particular setup. If two or more users are accessing Inventor files concurrently, then indeed you should be investigating Vault. With all of that said, the term 'Manual Drawing Management' can be just about anything. And so some manual drawing management systems/processes might be better than others. A 'tight' manual process can solve a great many issues that Vault does. Often Vault's success just comes from the fact that it forces a department to make their process tighter, in order to be able to use it.
And finally, I'll point out that I know of some single users that use Vault as well, just because of many of the tools that are in Vault that they find useful even though they do not need the multi-user protections that others do. Obviously I work here so my opinion is a bit biased but I can share my experience with the Vault and give you my honest feedback. I worked with Inventor for years without using Vault and always found the copy tool cumbersome as you had to select the folder and copy everything in it, duplicating parts and renaming generically. Using Design Assistant was better but had it's limitations.
Copying derived part links seems to be where I would struggle if memory serves. I took a position for a company that had six 2D AutoCAD drafters and wanted to move towards 3D Inventor. I stressed the importance of Revision Management as we would give customer two initial revisions to review, would rebuttal on average to five revisions, and often request revision one. Accessing them all for retrieval was paramount.
Getting it setup was cumbersome by myself but after research and planning Basic was utilized to achieve great results. Create a unique login for each user and lets components check in/out eliminating overlap. Notes at each check in let the other users know what changes were made. In Basic revision state can be left here as a workaround. Custom Content Center files can be managed between projects for reuse of standard parts.
The main feature used was the Copy Design which would grab an entire assembly and select which members to reuse or copy. All models were created off a parametric template that could be copied then adjusted for size. Models integrated with iLogic features can be linked. Having spent a good deal of time without the Vault and also going through the arduous process of setting up and managing, in a manufacturing environment I would never want to go without it. The Copy Design functionality alone is worth any headache that might come from setting up.
Uploading large amounts of data into the Vault can admittedly be daunting, but with proper research and approach can be handled. As for the price being a concern, if two people mess up a file and it takes them a day to sort it out, it pays for itself.
It depends on the workflow and if you need Revision Management and Change Orders automated. There are workarounds to Basic you could do to track changes in the notes, if it wasn't enough you could upgrade to the Workgroup and then Professional as you grow. I really do value advice from hardened veterans like yourself. It seems I am in a similar situation where the drawing office manager has hinted that we might go 3d inventor (6 other drafters that do autocad 2d only) has hinted that I might have to train the others, has got me redoing the 2d manufacturing drawings in Inventor in between projects. Right now the company has shut, but I am here for a week, due to lack of leave, and am by mself redoing 2d autocad manufactruing drawings in Inventor. I use design assistant a lot for renaming of files. For my revision control, I simply rename the ipt and iam and idw files with revision numbers and keep the old revisions. This ends up being quite simple in one way, but quite complicated in another Part-01.ipt when revised will be reanmed Part-01Rev A.ipt. Part-01.ipt will still be kept Assy-01.iam containing that part will obviiously also have to be revised and become Assy-01Rev A.iam Assy-01.iam will still be kept Drawing XXX.idw containing details of that part and assy will be renamed XXXRev A XXX.idw will still be kept.
End up having a lot of files but still a record of every single revision, and easy to go back. Assemblies and Sub Assemblies end up having lots and lots of revisions though. Every time a single part changes, the sub assemblies and assemblies that contain that part, need to have a new revision.
You also need to know in which assemblies those parts are. This is where the Vault 'Where used' comes in, or even the Design assistant. Manually it is a lot more difficult. The Vault 'save design as' is extremely useful compared to what I have to do now, identifying manually and renaming.
After varoius experiences with 4 different companies, after job hunting for 6 months previously and seeing which companies insisted on vault, and which ones were totally against it, and speaking to different people, and talking to you guys here on the forum, I have come to the conclusion that Vault is a good thing to have It is very difficult to implement at first, but the pay offs in the long run are worth it. Just recently here we had a server crash and everybody lost almost a weeks worth of work which had to be redone. That probably would have been the same even if we had vault, I don't know?? I believe Autocad Drawings can be saved into Vault as well??? Because of that server crash I now work from my hard drive and copy to server when finished. I know this is wrong, and eventually I have to change my mindset.
We also all work, each one of us, with a different set of Autocad Blocks saved in dfferent places. I know that is wrong too, and I have persuaded everyone, including the drawing office manager, that it is wrong, and that they must go onto the server in one location.

The bean counters (we call them that here too) always look at the cheaper options, and always seem to have the final say over the technical or engineering department. It is always a battle convincing them not to go 'cheap and nasty' I think if we go Inventor with all drafters, I will try and persuade management to go vault, but I really have my doubts they will see why? I will repeat all the horrific stories I have heard here on the forum!!

Why not have all of the files saved in the Vault.
As I mentioned, once it's set up (PROPERLY) it should be smooth sailing. If you start customizing, trying to do things not intended for that version of Vault, you'll have problems. note: Vault is only as good as the person setting it up, and those using it. If it's done wrong, then it's not going to work right.and Vault will get the blame.
